AI Front Door Overview
Purpose: This document is intended to provide a high level overview and functionality of AI Front Door within the Levelpath Platform through the perspective of a Business Stakeholder.
What is the AI Front Door?
The AI Front Door is an intuitive, conversational interface that leverages your configured Front Door data to guide users to the right project, resource, or answer. Instead of navigating a static menu, users can simply type their questions in natural language and receive intelligent suggestions and direct links to get started. This creates a faster and more user-friendly experience, reducing friction and improving adoption.
User Experience
When a requester logs in, they will see the AI Front Door search bar with the prompt:
"How can I help you?"
Users can type in questions such as:
- "I need to host an event"
- "I need a vendor"
- "How do I request a contract?"
Users can also attach documents directly in the Front Door.
Based on their input, the system will:
- Dynamically surface the relevant workflows (Front Door endpoints)
- Offer quick actions such as Search for a Supplier, My Requests, or View More Options
- Guide the user through any follow-up questions configured in Front Door (e.g., budget thresholds, event types)
- Automatically open the appropriate intake form or display next steps
This means all the logic and decision trees you build in Front Door drive the AI Front Door’s conversational guidance.
Admin Configuration & Maintenance
The AI Front Door does not require separate configuration—it uses the published Front Door configuration.
To keep the experience accurate:
- Maintain your Front Door questions, branches, and endpoints in the Front Door Editor as described earlier.
- Any changes published in Front Door will instantly reflect in the AI Front Door.
Tip: Keep endpoint names clear and user-friendly, since these will appear in the AI-generated suggestions.
Common Scenarios
A user types:
“I need to host an event”
AI Front Door:
- Recognizes the keywords “host an event”
- Guides the user through configured budget question splits.
- Presents the correct intake form (e.g., Host Meeting or Event over $25K) as the endpoint with intake for request.
A user types:
“I need a vendor.”
AI Front Door:
- Identifies relevant sourcing workflows.
- Offers quick links to start a project or request assistance.
Contract Search Tool
Users who have permissions to view contracts can use AI Front Door to query for specific contracts based on contract name, supplier name, and contract description. Users do not have to go to the contract repository to view contracts and can instead view it directly on AI Front Door (active and historical).
A user types:
“What NDAs do I have”
- AI Front Door queries all active and historical NDAs in the system across all suppliers
- When you select a contract record, Levelpath will take you to the contract workflow
A user types:
“What MSAs do I have with [Insert Supplier Name]”
- AI Front Door queries all active and historical MSAs in the system with the specific supplier name and pulls a list for the user to review.

Switch Back to Classic Front Door: Users can toggle back to the classic tile-based Front Door at any time.
Publishing Updates
Whenever you create or revise branches or endpoints in Front Door:
- Publish your draft in the Front Door Editor.
- The AI Front Door will immediately use the latest published version.
- No separate publishing step is needed.
Best Practices
- Keep question language clear and concise—users are likely to type similar phrases.
- Use informational endpoints for common questions if no workflow is required.
- Periodically review usage and adjust branches to improve results.
