Purpose: This guide provides step-by-step instructions for how to complete evaluations for suppliers from a sourcing event.
What is Evaluations?
Within a Sourcing Project, the Evaluation hub provides a dedicated space to upload and track evaluation templates and submissions. This page allows you and your collaborators to keep all evaluation files in one place, making it clear who submitted what and when.
How do you complete an Evaluation?
Step 1: Create an Evaluation Template
Evaluation templates are reusable scoring questionnaires managed from Sourcing > Templates. Building a template is similar to building a Questionnaire.
| Note: Only published evaluation templates appear in the template selection list when creating an evaluation. Draft templates are not available for selection. |
Step 2: Configuring Section Weights
Key actions available in this step:
- Navigate to Sourcing > Evaluation Templates and select the option to create an Evaluation.
- Add sections and scoring questions to each section.
- All questions use a 1–5 point scale for scoring.
- Optionally assign a percentage weight to each section (see Step 2 below).
- Publish the template to make it available when launching evaluations.
On the Evaluation Templates page, users can click on “New Template” and choose to either create a non-weighted or weighted scoring structure. In order to create a weighted scoring, the user can click on the “custom section weights” toggle.
Each section in an evaluation template includes an optional weight field (entered as a whole-number percentage). Section weights let you indicate that some areas matter more than others — for example, Technical Capability at 40%, Pricing at 35%, and remaining sections at 12.5% each.
As you enter weights, a running total is displayed so you can track progress toward 100%.
| Note: Weight fields accept whole numbers only. Decimal values are not permitted. Weights must be configured for all sections or no sections. Partial weighting is not permitted and surfaces a validation error. |
If users would like to quickly distribute even weights across their evaluation sections, auto-normalize option is available: it proportionally adjusts all weights to sum to 100% while preserving relative ratios. You must confirm before it is applied.
Section weights must total exactly 100% before publishing. If off, a validation error appears.
Step 3: Launch an Evaluation
Within a sourcing event, you can initiate an evaluation through 2 options: by clicking on “Go to evaluation” at the bottom of the sourcing event or by clicking on Evaluations tab on the top banner of your sourcing event page.
Option 1: “Go to evaluation”
At the bottom of the sourcing event page, users can click on “go to evaluation” and they will be brought to the evaluation creation page.
Option 2: Evaluations tab
For published sourcing events, you will be able to start building your navigation in the Evaluation tab.
| Note: Evaluations become available to evaluators once a supplier response has been received. "Start Evaluation" will not appear until at least one supplier has submitted their response. |
Then, you will arrive on the Evaluation page where you can click on “Use an evaluation template” to select the template that you created. Select a published evaluation template (file upload is also still supported).
Input instructions that will appear when the evaluation is sent to internal stakeholders in a long text field and set an evaluation due date.
Then the last step is selecting internal stakeholders to complete the evaluation by navigating to the bottom and clicking on “add a collaborator”.
Once all these required fields are complete, scroll up to the top right corner of the page to send the evaluation to stakeholders.
What if I need to revise the due date?
Users can revise the RSVP Due date, Questions due date, and Responses due date all from the Event details tab on the right hand toolbar.
This is a seamless way to extend due dates without having to revise and re-publish the entire event.
How do I award a Supplier?
Once a user has made a choice on which supplier to use, they can award the sourcing event to that supplier. This is an internal notification that will automatically close the sourcing event Project and utilize a trophy to signify that the selected supplier has been awarded the sourcing event. Suppliers are not notified.
| Note: Sourcing events are external to-dos for the supplier. Once invited, the supplier will have access to the configured form in the Levelpath Supplier Hub only. The supplier does not have access to the Project and can only see the fields you share with them and the responses they provide. |
