Purpose: This guide explains how to connect Levelpath to OneTrust so vendor and privacy assessments launch from a Levelpath workflow step and their outcomes flow back automatically. It is intended for administrators who set up the connector and for users who launch and track assessments.
What is the OneTrust Connector?
The OneTrust Connector links Levelpath and OneTrust so teams can launch, track, and act on a OneTrust assessment without leaving their procurement workflow. Levelpath drives the assessment from a single workflow step: reference data from OneTrust keeps that step accurate, the launch creates the assessment in OneTrust, and the outcome returns to move the workflow forward.
How the pieces connect:
- Connect — OneTrust reference data lands in Levelpath.
- Launch — a workflow step creates the assessment.
- Assess — respondents complete it in OneTrust.
- Resolve — the outcome updates and completes the step.
Setting Up the OneTrust Connector
What you need
- Your OneTrust domain (for example, app.onetrust.com).
- A OneTrust OAuth client: a Client ID and Client Secret with access to assessments, templates, organizations, vendors, and users.
- The Manage Integrations permission in Levelpath.
Steps
- Open the connector setup in Levelpath and select OneTrust.
- On the source system step, confirm the name (and any associated legal entities), then continue.
- Enter your OneTrust Domain, Client ID, and Client Secret.
- Click Connect OneTrust. Levelpath validates the credentials and enables the connection.
- Optionally choose a default assessment template, which is pre-selected whenever a new assessment is created.
After connecting, the connector page shows a Connection Details card with the domain and masked credentials — you can replace the credentials by entering new values and re-submitting. A Default Settings card lets you set the default assessment template. A disconnect option removes the connector and deletes the stored credentials.
Launching an Assessment from a Project
From a Levelpath workflow step, a team member launches a OneTrust assessment without leaving Levelpath.
Step 1: Reach the OneTrust step
Open the project and navigate to the OneTrust assessment step.
Step 2: Complete the assessment details
Fill in the assessment form: choose an Assessment Template, set the Organization (organization group that owns the assessment), enter an Assessment Name, add an optional Description, select the Respondents who will complete it, and optionally choose a Vendor to link the review to the vendor under evaluation. Then click Create OneTrust Assessment. If a default template was set on the connector, it is pre-selected here.
Step 3: Track the outcome
OneTrust returns the assessment, and Levelpath stores its identifier and a link on the workflow step so you can open it in OneTrust at any time. Levelpath checks the assessment on a regular schedule: when it is completed and approved, the workflow step completes automatically; when it is completed and rejected, the step is stopped so the team can decide on next steps.

When the connection is active, Levelpath reads the OneTrust records needed to launch an assessment, so each assessment is created with the right template, owner, and scope from the start.

Note: Reference data is read from OneTrust each time an assessment is launched, so the latest templates, organizations, vendors, and users are always available. Set a default template in the connector settings to pre-select it on every new assessment.
Validation & monitoring
- Levelpath validates the assessment details before sending them to OneTrust and shows a clear message if something is missing — for example, a missing template, a missing organization group, or no respondent selected.
- Each workflow step creates one assessment, so launching the same step again does not create a duplicate.
- If the OneTrust credentials expire, Levelpath reports it so the connection can be refreshed from the connector settings.
Frequently Asked Questions
Do I have to pick a template every time?
No. If an administrator sets a default assessment template in the connector settings, it is pre-selected on every new assessment. You can still change it when launching.
What happens when the assessment is approved or rejected?
When the assessment is completed and approved in OneTrust, the workflow step completes automatically. When it is completed and rejected, the step is stopped so your team can decide on next steps.
Can launching the same step twice create duplicate assessments?
No. Each workflow step creates one assessment, so re-launching the same step does not create a duplicate.
