Supplier Task Walkthrough/Guide
Purpose: This document is intended to provide a high level overview of functionality and configuration of Supplier Tasks within the Levelpath Platform from the view of an Organization Administrator.
What is a Supplier Task?
Supplier Tasks are Levelpath’s first iteration of assigning a form task to a supplier contact (third party) to fill out within a workspace!
The supplier will ONLY be able to view the information and questions within the configured Supplier Task. The supplier does not have access to the workspace and can only see the fields you share with them and the responses they provide.
No other information from the workspace is visible to the supplier.
Where do I configure Supplier Tasks?
Supplier tasks are located within the workspace configuration page. When configuring a workspace, you can create a stage and steps within that stage. Each step requires a step action.
A supplier task is one of the available step action types within the configuration.
Within the Admin Workspace Configuration, organization admins can add a supplier task to a step. This is shown as a Step Action (similar to a “Form” or “Approval”):
An Organization Admin can add and customize instructions, questions or fields for the supplier to provide.
What information is viewable by collaborators within a workspace?
Once configured and published, step owner(s) in an active request can then assign the form for a third party to fill out. The supplier task will say "Assigned to Supplier" in yellow once assigned:
Once the Workspace is active and the step owner(s) clicks “Send to supplier”, the team will be able to view supplier’s submission progress.
NOTE: The supplier task is an external to-do for the supplier. Once invited, the supplier will have access to the configured form in Levelpath Supplier Hub. The supplier does not have access to the workspace and can only see the instructions and fields you share with them with the responses they provide. No other information from the workspace is visible to the supplier.
After the Supplier completes the questions and submits their response, the information will immediately be populated back into the active workspace to be viewed by the workspace collaborators, also known as “Team” .
Note how the "Responded" status on the top right changed from a gray x to a green check mark.
