Supplier Task Walkthrough/Guide
Purpose: This guide provides a high-level overview of how to configure and use Supplier Tasks in the Levelpath Platform, from the perspective of an Organization Administrator.
What is a Supplier Task?
A Supplier Task allows you to assign a form to a supplier (third party) for completion within a project. It enables targeted collaboration without giving the supplier access to the broader project context.
The supplier can only view the fields and instructions you configure in the Supplier Task step. They cannot view the rest of the project or any other information.
Where to Configure Supplier Tasks
Supplier Tasks are configured in the Project Configuration page. To create one, you'll need to add a new Step dedicated to the Supplier Task.
Creating and Configuring a Supplier Task
Select “...” to create a new step, select “+Add a new step” and choose “Supplier task” from the options presented on the pop-up window. This will create a Supplier task step that includes “Supplier selection”, “Step action” that will have to be added and “Review”.
ADDING A STEP ACTION FORM TO A STEP
When selecting “Add a step action” 3 options for creating a Supplier Task will be presented:
- Use a blank form - This will allow you to start with a blank form that can be updated by adding new fields.
- Start with a template form - You can select one of the pre-made step action templates that are a Supplier Task form.
Use the Step Action Template as it is or click "Unlink" to adjust the template as needed.
- Template select - this action allows the user who the step is assigned to select one of the pre-made Step Action Templates that are supplier task forms. This is how the Template select field will look within a project:
What information is viewable by collaborators within a project?
Once a supplier task has been configured and published, step owner(s) in an active request can then take the following steps to collect information from a supplier (third party).
1. Assign the Task: A user confirms the supplier and contact under Supplier Selection (and choose a template if enabled). Once ready, they select Send to Supplier.
NOTE: The supplier task is an external to-do for the supplier. Once invited, the supplier will have access to the configured form in Levelpath Supplier Hub. The supplier does not have access to the project and can only see the instructions and fields you share with them with the responses they provide. No other information from the project is visible to the supplier.
2. Track Progress: After the task is sent, collaborators can view the supplier’s submission status. The Responded indicator updates from gray to green once the task is completed.
3. Review Responses, Edit if Needed: Supplier responses flow back into the project automatically, where collaborators can review them alongside other project details.
Collaborators can edit supplier responses directly in the project. Suppliers are notified of any edits and can see the updates in their Supplier Hub.
